When you submit a form on the website (quotation, trial sample, technical advice, pre-changeover check, document request, genuine-product check, service or seminar registration), message us on Zalo or send an email, Hop Tien collects: your name, company, job title (if given), phone or Zalo number, email, the content of your request, information about the machines and products you use, and any photos you attach (product labels, batch numbers, invoices). Please send only the photos and details needed for your request and mask unrelated personal data on invoices or documents.
Together with the form content, the system sends the address of the page you are on, your browser type (user agent), the time of sending and the time you spent on the page; these technical data are used to prevent spam, troubleshoot errors and understand the context of the request, are stored with the request and deleted under section 6.
When you visit the website, the analytics tool (if enabled, section 8) records a truncated IP address, browser type, pages viewed and time of visit in aggregate. The website does not collect sensitive personal data; please do not send sensitive data through the forms.
Your data is used to: answer your request (quotation, sample, technical advice, documents, genuine-product check); contact you to clarify technical needs; send the technical documents and certificates you asked for; manage the customer relationship and support history; and, only if you tick the separate box "send me invitations to technical seminars and technical articles" on the Contact form, send Hop Tien seminar invitations and technical articles (a few times a year; unsubscribe at any time by replying to the email or writing to info@hoptien.vn). Email addresses collected through other forms are not used for marketing.
Processing is based on your consent, given by ticking the consent box on a form (or by contacting us on Zalo or by email), and on the performance of transactions and contracts with your company. You may withdraw consent at any time (section 7); withdrawal does not affect processing carried out before it.
Hop Tien does not sell, rent or trade personal data. Data is shared only in the following cases:
Part of the data is stored on cloud services whose servers are located outside Vietnam (email, document storage, analytics). Storage and cross-border transfer of personal data are carried out in accordance with the laws of Vietnam on personal data protection, with contractual and technical safeguards: encrypted connections, access limited to the staff in charge, and use only for the purposes in section 3.
Data from advice and quotation requests is kept for at most 24 months after the last contact if no transaction follows; data of customers with transactions is kept for the duration of the relationship and 5 years afterwards under accounting and archiving rules. After that, data is deleted or anonymized. Photos attached to genuine-product checks are deleted together with the request.
Under Vietnamese personal data protection law you have the right to be informed, to consent, to access, to withdraw consent, to request correction, deletion, restriction of processing, to object to processing, to request provision of data, to complain and to claim compensation as provided by law. To exercise these rights, send a request to info@hoptien.vn or the address in section 1 with enough information for Hop Tien to confirm you are the data subject; Hop Tien responds within 72 hours of receipt, as required by law. You may also opt out of product messages and emails by replying "UNSUBSCRIBE" on Zalo or using the unsubscribe link in the email.
The website sets no cookies of its own for operation: product filters and language are kept in the page address, not stored on your device. When Google Analytics 4 is enabled, it sets statistical cookies to count visits, pages viewed and traffic sources in aggregate; IP addresses are truncated and Hop Tien does not use these figures to identify individuals. You can disable statistical cookies in your browser settings, with tracking protection or a Google Analytics blocker; the website still works normally. The website does not use cross-site advertising cookies.
The website uses HTTPS encryption. Customer data is access-controlled by the staff in charge, with access logs and periodic backups. Technical documents sent automatically by email are the manufacturer's published documents (TDS), attached and with a download link; batch documents and other files are sent separately by an engineer. Hop Tien staff sign customer confidentiality undertakings. In the event of a data breach, Hop Tien notifies the competent authority and the affected persons within the statutory deadlines.
The website and its forms are intended for business customers. Hop Tien does not knowingly collect personal data of children; if such data is found, it is deleted.
When this policy changes, the new version is posted on this page with the update date. Material changes to the purposes of processing will be subject to renewed consent.
